This Privacy Notice explains how Akika ("we", "us") collects, uses, and shares information when you use our backup and restore services for Business Apps (currently QuickBooks Online and any other supported integrations we add), visit our sites, or interact with us. If you do not agree with this Notice, do not use the Services.
1) Information we collect
- Account and contact data: name, email, authentication identifiers, organization info.
- Billing data: payment instrument details (handled by our payment processors), billing address, transaction records.
- Business App data: the content and configuration from your connected Business Apps that we back up, restore, or process per your Subscription Plan.
- Service and device data: log files, IP address, browser/OS attributes, session metadata, event/telemetry data about how the Services are used.
- Support content: information you provide in tickets, calls, or product feedback.
- Marketing preferences: opt-ins/opt-outs, communication history.
- Cookies/identifiers: identifiers used for authentication, session management, and (if you consent) analytics or marketing.
2) How we collect it
- Directly from you: when you create an account, configure backups, request support, or communicate with us.
- From Business Apps: via their official APIs once you authorize Akika to access your accounts.
- Automatically: through cookies, SDKs, and logs generated by your interaction with the Services.
- From processors/partners: payment processors provide limited billing status; email providers return delivery/engagement signals.
3) How we use information
- Provide, operate, and improve the Services (backups, restores, dashboards, monitoring).
- Authenticate you and secure access to your Account.
- Process payments, billing, renewals, and account changes.
- Detect, investigate, and prevent security incidents, fraud, or abuse.
- Provide support and communicate about service updates, changes, and incidents.
- Run analytics to understand product performance and plan capacity; we use aggregated/de-identified results where possible.
- Comply with legal obligations and enforce our Terms of Service.
- Send marketing communications where permitted; you can opt out at any time.
4) Legal bases (where required, e.g., EEA/UK)
- Contract performance: to deliver the Services you request.
- Legitimate interests: securing and improving the Services, supporting customers, preventing abuse.
- Legal obligations: record-keeping, responding to lawful requests.
- Consent: where required for certain cookies/marketing.
5) How we share information
- Service providers/subprocessors: cloud hosting, storage, analytics, logging, customer support, payment processing, email/SMS delivery—bound by confidentiality and data protection terms.
- Business Apps: to the extent needed to perform restores or maintain connections you authorize.
- Professional advisors and auditors: for compliance and business operations.
- Legal and safety: to respond to lawful requests, enforce our agreements, or protect rights, safety, and security.
- Corporate transactions: in a merger, acquisition, financing, or sale of assets, subject to continued protections consistent with this Notice.
6) Cookies and similar technologies
We use necessary cookies for authentication and security. Where required, we ask for consent before using optional analytics or marketing cookies. You can manage cookies via your browser settings; disabling cookies may affect functionality.
7) Data retention
Business App backups are retained according to the Data Retention Schedule in your Subscription Plan, the Documentation, or as provided by support. Account, billing, and operational records are kept as long as needed for the purposes described above and to comply with legal, tax, and audit requirements. We may retain limited logs or backups after account closure for security, fraud prevention, or legal obligations, then delete or de-identify them.
8) Security
We apply industry-standard safeguards to protect data in transit and at rest. No system is perfectly secure; you are responsible for protecting your credentials, devices, and Business App access.
9) International transfers
We may store and process information in regions described in the Documentation or communicated to you. Where required, we use appropriate safeguards for cross-border transfers (such as standard contractual clauses).
10) Your choices and rights
- Access, correction, deletion: you may request access to or deletion of your personal data, subject to legal exceptions.
- Portability: you may request a copy of personal data you provided, where required by law.
- Marketing preferences: you can opt out of marketing emails via the provided links.
- Cookies: control via browser or consent tools where offered.
Requests can be made via support@akikalabs.com. We may need to verify your identity and your request may be limited by law. If you are in a region with specific privacy rights (for example, EEA, UK, certain U.S. states), you may have additional rights and may lodge a complaint with your local data protection authority.
11) Children
The Services are not directed to children under 16, and we do not knowingly collect personal data from them.
12) Changes to this Notice
We may update this Notice from time to time. Material changes will be communicated in-product or by email where required. Continued use of the Services after changes take effect means you accept the updated Notice.
